The NAACP Texas State Conference Convention Ambassadors Program is a dynamic team of trained volunteers selected to serve in key operational areas across the convention, ensuring a seamless and welcoming experience for all attendees. From registration and wayfinding to VIP support, session monitoring, and logistics, Ambassadors are strategically placed and trained to support every aspect of execution. With centralized coordination, structured onboarding, and role-specific training, the program is designed to deliver efficiency, professionalism, and excellence at every level of the convention experience. roles details

  • Manages attendee check-in, badge and bag distribution, and on-site registration. Serves as the first point of contact and supports credentialing and attendee flow. Provides attendees with clear directions and logistical information regarding transportation, including schedules, pickup/drop-off locations, and shuttle coordination to ensure smooth travel experiences.

  • Stationed throughout the venue to direct attendees to sessions, restrooms, dining areas, exhibit spaces, and event rooms. Ensures smooth navigation and traffic flow. Manages lines, monitors room capacity, and ensures safe, organized entry and exit during high-traffic periods.

  • Responsible for pre-event and daily setup, including room configurations, signage placement, staging materials, and preparing all spaces before programming begins.

  • Handles clean up of papers distributed in event spaces, venue reset if the chairs or tables need to be readjusted for the next session, and general cleanup of trash on the floor. Also manages collection, logging, and return of lost items.

  • Serves as the welcoming presence of the convention. In addition to managing hospitality areas and supporting attendee needs, this team will oversee speaker and sponsor unplated meals, ensure delivery and setup of food and beverages, escorting, green room coordination, and schedule management, and provide essential materials such as writing utensils and notepads for speakers and VIPs. They will play a key role in maintaining a seamless and comfortable experience for all featured guests.

  • Provides dedicated support for speakers and VIPs, including escorting, green room coordination, and schedule management.

  • Assigned to session rooms to manage capacity, distribute materials, track attendance, and ensure sessions run on time.

  • Assists with basic technical needs including microphone handling, slide transitions, and troubleshooting in coordination with the AV team.

  • Flexible team members deployed as needed to fill gaps, manage high-traffic moments, and respond to real-time operational needs.

  • Assists vendors with setup, logistics, troubleshooting, and ensures exhibitor areas remain organized and functional.

Please plan for the following key dates:

  • Orientation: June 22 & 23, 2025

  • Training: Early September 2025

  • Group Meeting & Refresher Training: Late September 2025

All training is mandatory. Volunteers are expected to attend each session to be fully prepared to serve. Additional details for each session will be communicated in advance.

  • Individuals looking to serve and make an impact

Please note that youth members are not encouraged to volunteer for this convention. Instead, we encourage youth members to attend and fully experience the convention as participants. This is a wonderful opportunity for young people to engage, learn, and be inspired.

Volunteer parking is the same as general convention parking. Volunteers are responsible for their own parking costs. We encourage you to plan accordingly and factor this into your travel arrangements. Parking details can be found on the convention page at texas-naacp.org/convention.



Are meals provided for volunteers?

Volunteer meals are not covered as part of your volunteer commitment, and the Texas State Conference does not cover the cost of registration. If you would like access to meals during the convention, we encourage you to register as a convention attendee. Meals are included in the full registration package, which offers the best value. Day passed and a la carte meal options are also available for individual purchases.
